Management Assistant in Global Facility Management and Real Estate

Do you have experience as a management assistant preferably in relation to Facility Management and Real Estate administration? Are you passionate about creating long-term and effective solutions that create added value for the units you support? If yes, then perhaps we are looking for you for a new position as Management Assistant to the corporate team in Ramboll Global Facility Management and Real Estate (FM&RE). Your responsibilities as Management Assistant to the Global FM&RE You will be part of the staff that reports to the Director of Global FM&RE and will be working to provide administrative support to the FM&RE corporate team based in Ramboll’s Head Office in Copenhagen. Your main areas of responsibility will be: •Support to the team in preparing business cases, presentation material for executive and management meetings, general reports, policies and procedures etc. •Monthly reports on Global FM&RE activities and content manage our Global intranet pages •To become a proficient user of Ramboll’s administrative systems and applications i.e. Maconomy, Basware, SharePoint, Microsoft Office and be available to the teams for basic trouble shooting •Management of our sites on the SharePoint platform and our electronic archives •Provide support for meetings and conferences by scheduling meetings, booking meeting rooms, taking minutes of meetings, ensuring appropriate equipment is available and organising catering arrangements •Organise travel (local and foreign), accommodation and visas for the team •Track and report hours and expenses on the various projects that the team is working on •Assistance with any other duties and/or projects as requested from time to time In other words you get to handle a variety of tasks, which requires flexibility and prioritization capability, but also allows you to involve and develop your skills and abilities. It is a fulltime position and we would like you to start with us no later than 1 November 2016. You and your competencies The ideal candidate holds a degree at B.Sc. level or similar preferably within FM, real estate management, finance or business administration and should ideally be able to document a couple of years’ international experience from similar jobs in Corporate FM and/or Real Estate organisations or alternatively with FM providers - and must have the following competencies: •Strong administrative skills •Good communication skills, both spoken and written •An organised approach and excellent time management skills •Advanced knowledge of Word, Outlook, PowerPoint, Excel and other office applications •Accuracy and attention to details You will be required to produce reports, briefs and business cases with little guidance and to prepare presentations that the team uses to achieve desired outcome and client confidence.
