Then take on a maternity cover, which runs until August 2016, and join the Corporate Supply Chain department where we are responsible for the planning and distribution of Grundfos products globally. We set the overall level of production and inventory plans to best satisfy the current planned levels of sales and we ensure that Grundfos’ transportation services are at the highest level possible, thereby enabling our products to arrive at our customers. As Department Secretary for Corporate Supply Chain, you will be part of a small secretariat where you are responsible for providing support to our management team. As Department Secretary, you are responsible for providing general administrative support to your colleagues in Corporate Supply Chain. You will participate in planning and arranging large workshops and internal events. You will be responsible for updating existing Sharepoint and intranet sites as well as establishing new sites. Moreover, you will be the driver when ordering graphic productions including being the link to Grundfos’ graphics team. Part of your everyday tasks will be to support your colleagues with absence registration and requesting purchase orders. Another part of your job is to provide general administrative support to our 5 Directors employed in Corporate Supply Chain within distribution, demand planning and our Control Tower. As such, you manage calendars, meetings and travel planning, assist with communicative tasks, handle practical arrangements in connection with department specific events and update predefined reports. “Being in this position, you have to truly love the secretarial tasks. Aside from the administrative tasks, you are also responsible for making sure the office is presented in a professional way. Each day brings new tasks and being the office octopus and go-to-person, your challenge is to be able to prioritise,” Knud says. Hvad skal der til for at ansøge? Maybe you have recently obtained your degree within English or perhaps you have some years of experience as an Office Assistant or Secretary. Most importantly, you have exceptional written and oral communication skills in English and Danish combined with excellent interpersonal skills. If you do not already have intensive knowledge of the Grundfos organisation, practices, processes and values, it is important that you are eager to learn. You are proficient in the Microsoft Office programs and have good IT skills. “On a personal level, you are flexible and able to juggle a range of different tasks. You have the secretarial approach in your DNA enabling you to keep an overview while paying attention to details. Finally, you take initiative and possess good organisational and time management skills,” Knud finishes.
